To use the Service, you must:

• Provide accurate, current, and complete registration information.
• Maintain the security of your password and account credentials.
• Accept responsibility for all activities that occur under your account.

You may invite other users to your organization. You are responsible for the actions of users you invite and for ensuring they comply with these Terms.

Extract Syncer provides the following capabilities:

• AI-powered extraction of structured data from uploaded bills, invoices, and expenses.
• Automated retrieval of documents from connected email mailboxes.
• Synchronization of extracted data with connected accounting platforms.
• Management of contacts, categories, and users within your organization.

We reserve the right to modify, suspend, or discontinue any feature of the Service at any time without prior notice.

You agree not to:

• Use the Service for any unlawful purpose or in violation of any law.
• Upload or process documents that you do not have the right to access.
• Attempt to access, tamper with, or disrupt the Service or its infrastructure.
• Reverse engineer, decompile, or extract source code from the Service.
• Share your account credentials or resell access to the Service without authorization.
• Introduce malware, viruses, or harmful code through uploaded documents.

The Service uses artificial intelligence to extract data from your documents. The following conditions apply:

• Document content is transmitted to third-party AI providers (e.g. OpenAI) for processing.
• AI-generated results may contain errors. You must review extracted data before publishing.
• We are not liable for losses arising from unreviewed or incorrect extracted data.
• You are solely responsible for the accuracy of data published to your accounting platform.

The Service integrates with third-party accounting platforms including FreeAgent, Xero, Sage, and QuickBooks. When you connect an accounting platform, you grant the Service permission to access your account on that platform in accordance with the platform's own terms and permissions. You are responsible for ensuring you have the authority to connect and sync data with these platforms. We do not control and are not responsible for the availability, accuracy, or behavior of third-party platforms.

The Service operates on a credit-based system. New practices and companies receive an allotment of credits, and credits are consumed when documents are successfully extracted. Credit balances, allocation rates, and pricing may change at our discretion. We reserve the right to limit or suspend processing if credit balances are exhausted. Credits have no cash value and are non-transferable.

You retain ownership of all documents and data you upload to the Service. We process your data in accordance with our Privacy Policy. You are responsible for ensuring you have the necessary rights and consents to upload and process the documents you submit, including any personal data they contain.

The Service, including its software, design, branding, and content, is owned by Extract Syncer and protected by intellectual property laws. These Terms do not grant you any right to use our trademarks, logos, or proprietary materials.

You retain all rights to the documents and data you upload. By using the Service, you grant us a limited license to process your data solely for the purpose of providing the Service to you.

We strive to maintain high availability but do not guarantee uninterrupted access to the Service. The Service may be temporarily unavailable due to maintenance, updates, or factors beyond our control. We are not liable for any downtime or data loss resulting from service interruptions.

The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied. We do not warrant that the Service will be error-free, secure, or that AI-extracted data will be accurate or suitable for your needs. You use the Service at your own risk.

To the maximum extent permitted by law, Extract Syncer and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or business, arising out of or related to your use of the Service. Our total liability for any claim shall not exceed the amount you have paid us in the three months preceding the claim.

You agree to indemnify and hold harmless Extract Syncer and its affiliates from any claims, damages, or expenses arising from your misuse of the Service, your violation of these Terms, or your infringement of any third-party rights through the documents or data you process.

You may close your account at any time. We may suspend or terminate your access to the Service immediately, without notice, if you violate these Terms or if we believe your conduct poses a risk to the Service or other users. Upon termination, your right to use the Service ceases, and we may delete your data in accordance with our retention policy.

We may revise these Terms at any time. We will post the updated Terms on this page and revise the "Last updated" date. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms. If you do not agree, you must stop using the Service.
